Navisa Prep — Terms of Use

NovaCore Systems Inc. · Version 2026-07-17 · These terms govern individuals using Navisa Prep. Licensed firms using the Navisa platform are governed by the Navisa Terms of Service.

Acceptance

By creating a Navisa Prep account, accessing, or using Navisa Prep (“Prep”), you agree to be bound by these Terms of Use (“Terms”) and the Navisa Prep Privacy Addendum. If you do not agree, do not create an account or use Prep.

These Terms form a binding agreement between you, an individual, and NovaCore Systems Inc., a company incorporated in British Columbia, Canada. Your acceptance is recorded with the version number and date shown above. If we update these Terms, you will be asked to review and accept the new version before continuing to use Prep.

What Navisa Prep Is

Navisa Prep is document preparation and organization software for people preparing their own Canadian immigration applications. Prep provides tools that:

  • ·Organize your documents and extract data from them (with every extracted value shown for your review).
  • ·Compute comparisons of the information you enter against publicly published Government of Canada requirements and criteria, with citations to the published source for each comparison.
  • ·Surface potential gaps, inconsistencies, or unresolved checklist items in your materials, described with reference to the published requirement each relates to.
  • ·Present options — common ways applicants in similar situations document or address an item — as general information, for you to accept, dismiss, or ignore.
  • ·Pre-fill form worksheets from your own entered and extracted data, for your line-by-line review before any use.
  • ·Help you draft letters and explanations that you review, edit, and approve.
  • ·Assemble your reviewed materials into an organized package that you download and use as you decide.

All comparisons, flags, and options are general information about published rules applied to the data you entered — the same category of computation a tax-preparation product performs against published tax formulas. Every decision about your application is made by you.

What Navisa Prep Is Not

Navisa Prep is not a law firm, not a regulated immigration consultancy, and not your representative. NovaCore Systems Inc. is a software company. Prep:

  • ·Does not provide legal advice or immigration advice. Under Canada’s Immigration and Refugee Protection Act (section 91), only licensed individuals — such as Regulated Canadian Immigration Consultants (RCICs) and lawyers — may represent or advise a person for consideration in connection with an immigration application or proceeding. Prep is software; it presents cited information and options, and it does not and cannot advise you on what you should do.
  • ·Does not act as your representative. Prep must not be named as your representative on any IRCC form (including Form IMM 5476). Prep does not communicate with IRCC on your behalf.
  • ·Does not predict outcomes. Prep will not tell you whether your application will be approved or refused, estimate your chances, or predict what an immigration officer will decide. No software can.
  • ·Does not submit anything. You submit your own application through your own IRCC account or by the channel you choose. Prep never files, transmits, or submits anything to any government body.
  • ·Does not review or approve your application. Documents you prepare with Prep are self-prepared. No licensed professional has reviewed them unless you separately engage one.

No Professional Relationship

Using Prep does not create a solicitor-client, consultant-client, advisor, fiduciary, or any other professional relationship between you and NovaCore Systems Inc. or any of its personnel. Nothing in Prep’s outputs — including comparisons, flags, options, drafts, worksheets, or coach responses — constitutes legal advice, an opinion on the merits of your application, or a recommendation about what you should do.

Your Responsibilities

By using Prep, you acknowledge and agree that:

  • ·Every decision is yours. Which documents to include, how to answer each question, whether and how to address any flagged item, and whether and when to submit — all of these are your decisions.
  • ·You review everything. You are responsible for verifying every extracted value, every pre-filled worksheet field, every draft, and every comparison against your own records and the linked official sources before using any of it.
  • ·You submit independently. Any application you make to IRCC is prepared and submitted by you, on your own behalf.
  • ·You provide truthful information. You are responsible for the accuracy and completeness of everything you provide to IRCC. Misrepresentation to IRCC has serious legal consequences, including inadmissibility.
  • ·Deadlines are your responsibility. Prep may display published processing information and reminders, but tracking and meeting your deadlines is up to you.
  • ·You are at least the age of majority in your province or territory of residence, and you are using Prep to prepare your own application (or one you are legally entitled to prepare, such as for your minor child or as part of your own family application).

AI-Generated Content

Prep uses large language models (LLMs), including Anthropic Claude, to extract document data, compute comparisons, describe flags and options, and draft text for your review. AI-generated outputs:

  • ·May contain errors or omissions, and government requirements can change after content is generated. That is why Prep cites the published source next to its comparisons — so you can verify each one yourself.
  • ·Are general information, not advice, and not an opinion on the merits of your application.
  • ·Must be reviewed by you — and, for anything you are unsure about, by a licensed professional — before you rely on them.

Before you export a package or finalize a form worksheet or letter, Prep asks you to acknowledge that the material is self-prepared and that you have reviewed it. These acknowledgments are recorded (see Consent & Decision Records).

Licensed Professional Help

Only a licensed professional can advise you on your situation. Situations where professional advice matters most include: prior refusals or removal orders, any inadmissibility concern (criminal, medical, or misrepresentation), humanitarian and compassionate applications, appeals, and any case where the stakes of an error are high for you.

Licensed help includes Regulated Canadian Immigration Consultants (RCICs) in good standing with the College of Immigration and Citizenship Consultants (CICC) and lawyers licensed by a provincial or territorial law society. You can verify a consultant’s licence on the CICC public register. Prep includes a “find a professional” page and a professional handoff summary designed to make engaging licensed help easier at any point — Prep informs; a licensed professional advises.

Billing & Payment

Prep offers the following, all processed through Stripe:

  • ·Free tier: account creation, intake, and the free tools, at no charge.
  • ·One-time application prep purchase ($29 standard): unlocks the full preparation workspace for one case for 30 days from purchase. This is a one-time charge, not a subscription.
  • ·Companion subscription ($11/month standard): optional ongoing access billed monthly until you cancel. You can cancel at any time from your billing settings; access continues to the end of the paid period.
  • ·Prices are shown in your regional currency and amount before you pay. Your region is determined by your payment card’s issuing country. Displayed prices exclude applicable taxes, which may be added at checkout.
  • ·Payment card details are collected and stored by Stripe; NovaCore does not store full card numbers.
  • ·If you believe a charge is in error, contact legal@navisa.io within 60 days of the charge and we will review it in good faith. Except as required by applicable consumer protection law, charges are otherwise non-refundable once the workspace or subscription access has been delivered.

Your Data & Privacy

Your data belongs to you. NovaCore is directly accountable to you for the personal information you provide to Prep, under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA). The Navisa Prep Privacy Addendum describes what is collected, how it is processed (including AI processing), your rights of access and correction, and retention periods.

Nothing you store in Prep is shared with any immigration professional, government body, or other third party at our initiative. The professional handoff summary is a document you download and choose to share.

Consent & Decision Records

Prep keeps a record of your acceptance of these Terms (version and timestamp), the acknowledgments you give at points of risk (for example, before exporting a package), and the choices you make on presented options (accepted, dismissed). These records exist so that your case file accurately reflects that the information was presented to you and that the decisions taken were yours. They are part of your case activity log and are visible in your workspace.

Acceptable Use

You agree to use Prep only for lawful purposes. You must not:

  • ·Use Prep to prepare fraudulent applications or to misrepresent facts to IRCC or any government authority.
  • ·Use Prep to provide immigration services or advice to other people, whether or not for a fee. Prep accounts are for preparing your own application. Licensed professionals should use the Navisa platform for firms.
  • ·Reuse one paid case for multiple different applicants.
  • ·Attempt to reverse-engineer Prep, scrape it at scale, or circumvent billing, authentication, or security controls.
  • ·Resell or share your account.

Violation of this section may result in suspension or termination of your account without refund, except as required by applicable law.

Availability & Termination

Prep is provided “as is.” We target high availability but do not guarantee uninterrupted access. You may close your account at any time. After account closure or the end of a paid access window, your data remains available for export for 30 days, after which it is deleted in accordance with the Privacy Addendum. We may suspend or terminate accounts that violate these Terms.

Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW:

  • ·NovaCore Systems Inc.’s aggregate liability for any claim arising from or related to Prep is limited to the fees you paid for Prep in the three calendar months immediately preceding the event giving rise to the claim.
  • ·We are not liable for the outcome of any immigration application, IRCC decision, processing delay, missed deadline, or consequence of information you submitted to any government body.
  • ·We are not liable for indirect, incidental, consequential, punitive, or special damages of any kind.

Nothing in these Terms limits liability for fraud or gross negligence, excludes any warranty, condition, or right that cannot be excluded under applicable Canadian consumer protection law, or affects any recourse that such law makes non-waivable.

Governing Law

These Terms are governed by the laws of the Province of British Columbia and the federal laws of Canada applicable therein. Any dispute that cannot be resolved informally shall be submitted to binding arbitration in British Columbia, except that you may bring an individual claim in small claims court where it qualifies, and nothing in this section deprives you of the protection of any mandatory consumer protection law of your province or territory of residence.
